Big Science Business Forum 2024 – Trieste, Italy 77 Big Science Business Forum 2024 – Trieste, Italy 76 The Roadshow results were highlighted in the parallel session PS A1 “Opportunities for Big Science in Central Europe” at BSBF2024. The main goal of PS A1 was to underscore the importance of greater involvement by Central, Eastern, and South-Eastern European companies in Big Science. CEI Secretary General, Roberto Antonione, emphasized the role of regional cooperation and multilateral diplomacy in advancing this process. During the roundtable, co-moderated by CEI and the European XFEL BSO, speakers from eight European countries (Serbia, Slovakia, Czech Republic, Poland, Hungary, Slovenia, Montenegro, and Ukraine)—representing companies, research centers, universities, and chambers of commerce—presented their views. Conclusions and Future Outlook Specific barriers need addressing to strengthen participation from these regions: • Lack of information on BSO tenders → the need for targeted information campaigns • Perceived difficulties in procurement procedures → training and capacity-building for companies • Strategic role of Industrial Liaison Officers (ILOs) → need for more ILOs and enhanced expertise Coordinated efforts in these areas can bolster Big Science development in Central, Eastern, and South-Eastern Europe. 5.2. Communication and Press Office 5.2.1. The Team The communication team for BSBF 2024 was coordinated by Rosy Battaglia, Press Officer BSBF, and included: • Demetrio Filippo Damiani – Director of the Press Office and Communication of the Friuli Venezia Giulia Autonomous Region • Leo Brattoli – Communication Officer, Area Science Park • Andrea Bulgarelli – Communication Officer, Unioncamere • Giulia Zanello – Press Officer, PromoTurismoFVG • Paola De Cassan – Social Media Officer, PCO • Silvia Pisana Reinotti – Communication Officer, Area Science Park • Laura Sartori and Cristina Perini – Promotion Officers, University of Trieste The team also benefited from support by Veronica Simeone, PCO Logistic Manager. Press Officer Rosy Battaglia maintained ongoing coordination with the BSBF Project Director andPCOManagement, ensuringcontinuousupdateswiththeCommunication Manager of the Friuli Venezia Giulia Autonomous Region. The group worked closely with Maria Cristina Sordilli, Assistant to the BSBF Trieste 2024 Director (Area Science Park), Marco Tessarotto (ICT Manager of Friuli Venezia Giulia Autonomous Region), and Rodolfo Riccamboni (PCO ICT Officer). Pre-Event Activities Pre-event communication followed meticulous planning and effective coordination. Highlights: • Communication Plan : Presented on February 14, 2024, at the first LOC meeting in Trieste, outlining communication and promotional strategies, emphasizing integrated communication and stakeholder involvement eight months before the event. • BSBF Project Team Coordination : From March 11, 2024, over 30 coordination meetings were held with BSBF Communication, identifying promotional activities aligned with the BSBF calls due from March to June 2024, supporting the BSBF Director’s initiatives including the European roadshow. • Editorial Plan & Updates : A draft editorial calendar was developed as an essential tool for content and event planning leading up to BSBF, enabling alignment in preparing news for bsbf.org and the Press & Media Room section, plus scheduling BSBF newsletters and social media posts. Particular attention was given to Roadshow press coverage, in synergy with the institutional communications manager and the Regional Agency Cronache RAFVG, producing targeted news and posts, later shared in newsletters for Belgrade (Feb 27), Bratislava (Mar 20), Prague (Mar 21), Warsaw (Apr 16), Budapest (May 7), Zagreb (Jun 13), Ljubljana (Jun 14), and Podgorica (Jul 12). All info was shared with BSBF Management and the Communication Group, using official channels (website, social, newsletters) and involving institutional partners (University of Trieste, Area Science Park, UnionCamere). • Internal and External Relations : Over 1,000 emails and 35+ calls/meetings were exchanged, liaising with Friuli Venezia Giulia Region staff, BSBF Management, and the BSBF Communication Group. Meanwhile, national and international press contacts were initiated in preparation for the event press conferences and BSBF itself. Connections were also established with press offices of the 10 main BSOs (CERN, ESA, ESO, ESS, ESRF, European XFEL, FAIR, F4E, ILL, SKAO), the 9 ABSOs (CTAO, DTT, ESS Bilbao, Elettra – Sincrotrone Trieste, IFMIF-DONES, INFN, MYRRHA, ELI ERIC), and the 5 main Italian research agencies (CNR, ENEA, INFN, INAF, Area Science Park), ensuring coverage on all levels.
